Tips, tricks & other helpful hints: Adding Attendees to a Meeting without Sending an Update to Others Already Invited

There may be instances in which you invite some people to a meeting and need to add more people later on or you would like to reserve a room for a meeting first before inviting everyone. It is possible to add people and rooms to your Outlook reservation without resending the invitation to people who have already received it earlier.

The following instructions will demonstrate this by first reserving a room and later adding other attendees to the meeting.

1. Open your Outlook Calendar.

2. On the “Home” tab, select “New Meeting.”

3. In the “Meeting” window, complete the “Subject” line using the following format: Event Title (First Initial Last Name of Organizer, Phone Extension) Date of the Event

4. Select the “Location” by clicking the “Rooms” button, searching for rooms/resources beginning with “HarH,” selecting what is needed, clicking “Rooms”, and clicking “OK.”

5. Select the “Start Time” and “End Time.”

6. Click “Send.” The window should close.

7. When you are ready to add additional attendees, open the reservation on your calendar.

8. In the “To” field add the additional people or rooms/resources that you would like to invite to the meeting.

9. Click “Send Update.”

10. In the “Send Update to Attendees” dialog box, choose “Send updates only to added or deleted attendees” and click “OK.”
