Time Entry for Holiday Closedown - for all leave eligible employees and their supervisors – CHANGED AS DECEMBER 24TH IS NOW A FEDERAL HOLIDAY

As a result of an Executive Order signed by President Trump on December 17, 2019, Gov. Ricketts has announced that Nebraska state government agencies will be closed on Tuesday, December 24, 2019. State law provides that whenever the President gives federal employees paid time off, the State of Nebraska shall grant the same benefit to state employees.

*For biweekly employees and their supervisors (For monthly employees please scroll down)

UNL will be closed beginning Monday, December 23, 2019 through Wednesday, January 1, 2020, except for essential designated operations. All biweekly employees should enter their time in ESS time for the pay period ending December 19th by the end of the day Thursday, December 19th. Time not entered and approved by Dec 20th will not be paid until the next pay cycle. Vacation time should be entered for the shut down in ESS leave and Floating Holiday/Administrative/Holiday/Unpaid time in ESS time and approved by Friday, December 20, 2019. If there is a specific need for you to work during the Holiday Closedown, please request approval from your immediate supervisor and notify the CEHS Business Team in writing in advance.

For those who have been employed the entire calendar year, you will use 4 days of floating holiday and 1 day of vacation or unpaid leave for a total of 5 days. Floating, Administrative, and holiday time is entered into ESS Time and Vacation is entered in ESS Leave. For those who started after February this year, the number of floating holidays you will have earned will be less than 32 hours, this means you will need to use additional vacation or unpaid leave to make up the difference in days to total 5 days leave during the closedown period. Regular Employees are eligible for holiday and floating holiday pay, prorated according to FTE. A regular employee will receive pay for a holiday if the employee is in pay status for the full work shift on the last scheduled workday prior to the holiday AND the first scheduled workday after the holiday. Please consult the business team if you are using unpaid leave to ensure it is entered appropriately. If you have already submitted your leave please correct to remove leave on the 24th and and if floating holiday was used, move to a different day.

See below for the scheduled holiday closing dates and posting determinations:

December 23 Vacation in ESS Leave Or Floating Holiday/Unpaid Leave in ESS Time

December 24 Administrative (ADM) Leave in ESS Time

December 25 Holiday in ESS Time

December 26 and 27 Vacation in ESS Leave Or Floating Holiday/Unpaid Leave in ESS Time

December 30, and 31 Vacation in ESS Leave Or Floating Holiday/Unpaid Leave in ESS Time

January 1 Holiday in ESS Time

January 2 Return to work

When choosing between using a floating holiday versus vacation leave, the following should be considered:
• Floating holiday maximum accrual is 32 hours per year. If an employee uses vacation, which would retain a floating holiday, the employee will start 2020 with 8 hours of floating holiday. The employee will need to be aware of the four floating holiday accrual dates and use the retained floating holiday to avoid hitting the maximum, which would stop the accrual.
• Vacation maximum accrual is 280 hours; therefore, employees who are close to the maximum may choose to use vacation to avoid hitting the maximum, which would stop the accrual. This would retain the floating holiday as mentioned above.

*For monthly paid employees – 12-month faculty and staff

UNL will be closed beginning Monday, December 23, 2019 through Wednesday, January 1, 2020, except for essential designated operations. All monthly paid leave eligible employees must submit their leave for this time to their supervisor before Friday, December 20, 2019. If there is a specific need for you to work during the Holiday Closedown, please request approval from your immediate supervisor and notify the CEHS Business Team in advance.

For those who have been employed the entire calendar year, you will use 4 days of floating holiday and 1 day of vacation or unpaid leave for a total of 5 days. For example, a 12-month faculty or staff can enter their request in ESS leave using two entries, Dec 23rd as vacation and Dec 26-31st as floating holiday. For those who started after February this year, the number of floating holidays you will have earned will be less than 4 days (32 hours), this means you will need to use additional vacation or unpaid leave to make up the difference in days to total 5 days leave during the closedown period. Regular Employees are eligible for holiday and floating holiday pay, prorated according to FTE. A regular employee will receive pay for a holiday if the employee is in pay status for the full work shift on the last scheduled workday prior to the holiday AND the first scheduled workday after the holiday.
