Media Administrative Assistant
Responsibilities and Duties

The Media Administrative Assistant supports the work of the media department by maintaining awareness of all department activities and documenting media activities. Specific job requirements include a strong sense of organization, a good sense of client responsiveness and team orientation, computer proficiency (preferably Macintosh – Microsoft Word, Excel and PowerPoint), and an ability and interest in learning media planning and buying.

Specific duties include, but are not limited to:

• Initiate continuity orders, alerting Account Managers and Production of ordered media requirements.

• Create and send media orders to media outlets, including television and radio stations, publications and Web media.

• Check media invoices and proofs of performance (tear sheets and affidavits) to assure that charges are correct and advertising ran as expected.

• Track make-goods for broadcast purchases.

• Prepare and update client media schedules, calendars and reporting.

• Coordinate media research, including ordering media kits and information.

• Maintain media library and media kit drawers.

• Setting up client HTML e-blasts including preparing and updating performance reports

• Assist in testing Interactive forms, programs, etc.
