COVID-19: IT Preparedness for CCFL Staff

As part of the preparedness for COVID-19, please take some initial steps to make out-of-office online work easier. Some of these steps may already be done on your laptop/computer.

It is mandatory to install a VPN client (Cisco AnyConnect) on the computer that you will be using off-campus.

1. If you have an assigned laptop from CCFL, you are 95% of the way to being able to access all of the necessary computing services. The only thing you might need is the VPN dialer/client (Cisco AnyConnect). You use the dialer to connect to vpn.nebraska.edu, and authenticate with your TrueYou credentials (NUID).
2. If you have a desktop, you should be able to install the VPN dialer on your home computer and remotely access your desktop. It is possible that you might need to turn on remote desktop access on your work computer at CCFL, and disable sleep settings. You can see how to do that here: https://www.groovypost.com/howto/setup-use-remote-desktop-windows-10/ . If you need assistance, please reach out on Teams or Pidign, and Allison will look at it. Please check to make sure this access works before you think you'll need it.

You also need to be enrolled in Two-Factor DUO authentication
• Two-factor authentication Instructions [its.nebraska.edu/two-factor]
IMPORTANT: when you sign up for two-factor, you need to register with your smartphone or home phone to get the code.
o Please do not register your office phone.
o If you do not have a smartphone, you need to get a token with this form [its.unl.edu/services/duo/token-request/]. Please select “Pick up my token” on the form and enroll in DUO before going to pick up the token.

Once you have the VPN installed and Duo authentication set up, below are the steps to access the Cisco AnyConnect on your computer/laptop:

1. Start Cisco AnyConnect
2. Enter “vpn.nebraska.edu” and click “Connect”
3. Enter your UNL TrueYou credentials (your NUID and password) and preferred Duo information (type “push” if you use Duo push notifications, or enter Duo passcode, sms or phone call)
4. Allow access via Duo (either push notification, passcode, sms, or phone call)
5. Click Accept

Please consider other possible IT needs to ensure you can work remotely:

• Can you access essential programs, including Outlook [mymail.unl.edu], work calendar, Box [box.unl.edu], Firefly [fed.nebraska.edu], Microsoft Office, and any software or servers that you need? If not, check in with Allison to see if this software can be installed on your machine.
• Can you access any other program(s) that you use regularly, such as websites that use certificates/security based on IP address?
• Do you have sufficient bandwidth outside of the office/at home? If not, consider alternative locations for working remotely.
•Do you have a webcam and access to Zoom [unl.zoom.us]? If you don’t have a webcam, consider purchasing one or commit to audio-only communications and recording (note, you can use your phone for Zoom audio).
• Can you access your voicemail and receive messages? If your voicemail is not set up to forward to your email, consider changing your outgoing message to indicate that you may not be able to check your voicemail regularly and that email is a better way to reach you. Or, forward your office phone to your personal phone.

To check voicemail from non-office phone:
• Dial 402-472-7200, press #
• Enter your mailbox number (your seven-digit office phone number)
• Enter your security code

Or visit voicemail.unl.edu to check manage your voicemail online

To forward your office phone:
• Press Fwd All on your office phone
• Enter the call forward target number exactly as you would dial it from your phone

• Do you have the necessary contact information for other staff/DHHS contacts or anyone you supervise? An updated CCFL Staff phone list will be sent to the CCFL listserv.

• Develop a “Ready Bag” you can take home with you at the end of each day that will allow you to begin working remotely at a moment’s notice. This would obviously include laptops, chargers, and other related technology, but could also include physical items (such as binders, documents, materials). Alisha has extra CCFL bags from our retreat last year if you would like one for your ready bag.
