Emergency Admin Leave Instructions

As stated in President Carter’s email on Saturday, March 14, 2020, an emergency paid administrative leave policy related to COVID-19 has been created. Employees may take up to 80 hours of administrative paid leave in the event of self-quarantine, quarantine or care of an immediate family member, childcare resulting from school closures, or other related scenarios. The emergency leave is available to all employees, including temporary, on-call and student workers; part-time employees will be eligible for a prorated amount of time.

The Admin Leave reason type has been added to ESS Leave and ESS Time to allow employees to enter this leave type. Monthly and bi-weekly employees will enter Admin Leave via ESS Leave, ESS Time or their third-party timekeeping system. In the event employees are unable to enter their hours, a time/payroll coordinator will need to enter the hours on their behalf.

Employees Recording Time and Leave

Employees who must be absent due to COVID- 19 should enter all hours including their ADMIN leave via their usual leave reporting method (ESS Time, ESS Leave or third-party timekeeping system)
The following are absence related reasons due to COVID-19:
· self-quarantine
· quarantine to care for an immediate family member
· childcare resulting from school closure
· other related scenarios

Regular Time – Employees performing work at their work location or at home will record regular time
Sick Leave Comply with sick leave policy
Vacation Leave – comply with vacation policy
Unpaid Leave – record when all other eligible leave has been exhausted
