Segregation of Duties for Deposits during COVID-19 Situation
I just wanted to make note of the separation of duties that Ruby referenced regarding receipting checks, depositing the money, and creating the RRV documents.
- Under normal circumstances, the University’s Cash Handling Policies and Procedures outlines that the person opening the mail and logging the checks received be a different person than the person preparing and processing the deposit.
- As offices adjust to working in this COVID-19 environment, the UNL’s Bursar’s office realizes that it will be difficult to maintain separation of duties while operating with minimal staff. IANR Business Center were notified it is acceptable to temporarily modify the bank deposit process if needed.
- It is now acceptable for the same person to receipt the checks on the mail log, create the deposit, deliver to the bank, and create the RRV documents for submitting to the GNBC mailbox. However, please maintain segregation of duties if your staffing situation allows.
- For audit purposes, we need to document whenever the same person handles the entire deposit process. Please note COVID19 on your cash receipt document/log AND COVID19 on your Revenue Receipt Voucher when applicable. For consistency, please type “COVID19” after the name of the person preparing the deposit (see below).
