Gallery Assistant - Kiechel Fine Art (Lincoln, NE)

Kiechel Fine Art is seeking a part-time or full-time Gallery Assistant. Duties typically include the physical installation of exhibits which includes painting or repairing walls and pedestals, allocating display materials and removing artwork when an exhibit is over as well as clerical and administrative support. This role will mainly involve handling aspects related to local staff as well as handling various day-to-day office administration tasks, including facilities management. The candidate must possess excellent organizational skills, strong editing and solid written and verbal communication skills; have experience in managing multiple projects and the ability to relate & sell to a variety of clients. The candidate must maintain confidentiality, led by example, be adaptive to constant change, have a professional appearance and manner, and be able to exercise good judgment and initiative. The ideal candidate will have a strong, positive, results-driven work ethic.

Job Responsibilities:
> Calendar management – schedule complex meetings with internal and external parties over various domestic and international time zones
> Continuously keep the gallery's website and social media outlets up to date
> Handle communication, correspondence and general administration
> Assist in travel itineraries & preparation – air, hotel, ground transport, packaging of artwork for travel, outgoing artwork documentation and research
> Complete complex contact reports, mailing lists
> Manage and work on multiple projects simultaneously while remaining effective and efficient
> Assist in the collection management including organization of the gallery inventory and records
> Plan, coordinate and execute special events including exhibitions, receptions and corporate events
> Oversee ordering and maintaining office stationery and equipment, special orders as needed as well as being the point person in the approvals, ordering and distribution of employee business cards and maintain office assets
> Facilities management – building management on any facility issues – lights, spackle/painting, security, etc.
> Maintaining and regularly updating office documentation, including the maintenance and distribution of incoming and outgoing artwork
> Other administrative duties, special projects and events, as they may arise
> Assist senior staff as needed; provide back-up to executive assistants

Minimum Requirements:
> Sales Experience (retail or other)
> Seeking a degree in: Art History, English, Business or related field
> Ability to drive issues and timing; extremely proactive organizational and problem-solving skills
> Excellent computer skills with mastery of Microsoft Office & Adobe CC suite
> Skilled at creating sophisticated PowerPoint presentations, organization charts and Excel spreadsheets
> Absolute confidentiality when dealing with sensitive projects
> Professionalism with the ability to work in high-pressure and time sensitive requests
> Ability to juggle multiple projects, priorities and requests with ease
> Ability to work flexible hours, including overtime, with minimum advance notice
> Excellent judgment, discretion and proven experience dealing with sensitive and confidential information in a diplomatic way
> Event planning experience, including support for large meetings, off-sites and gallery events
> Exceptionally strong attention to detail
> Grace and sense of humor under pressure
> Exceptional written and oral communication skills
