Eureka! 2014 Conference: Hotel, Parking and Travel Information

Specialists, Educators, Assistants/Associates, we are planning a two day conference to be held in Lincoln on March 18 starting at 10 AM and ending on March 19 at 3 PM. The agenda and registration have not yet been finalized but hope to have something soon.

You will be responsible for making your lodging reservation and/or cancellation at one of three Lincoln hotels (Country Inn & Suites, Staybridge Suites or Holiday Inn Express Hotel & Suites Lincoln Airport).

Chuck indicated that he would pay for two nights lodging (March 17 & 18) for those 3+ hours away from Lincoln (appox. 150+ miles). And one night lodging (March 18) for those closer to the Lincoln area.

We have reserved a block of rooms at each hotel. Country Inn and Suite and Staybridge Suites are holding rooms for both nights, the Holiday Inn Express Hotel & Suites Lincoln Airport is just holding rooms the night of March 18.

All rooms will be direct billed to UNL Extension Administration if you use the registration code: UNL Extension Spring Conference. DO NOT go through the Holiday Inn on-line/web registration site as your room expense will not be reimbursed.

The lodging block reservation deadline is January 27, 2014. You can still make reservations after this date and will still get the group rate, but you may not get into the hotel of your choice. You will need to secure your room with a Credit Card. Other incidental charges, such as movies, phone, etc., WILL NOT be paid by UNL Extension.

If your lodging reservation is not made by January 27, you will be responsible for securing your own lodging and will only be reimbursed at the group rate given us by the three hotels.

Please contact Linda Tempel (ltempel1@unl.edu or 402-472-3967), if you have questions. If you are unable to attend and do not cancel your reservation, you will be expected to reimburse UNL Extension for the cost of your room.

UNL Extension will reimburse county-based state and grant funded employees for mileage related expenses.

The County is responsible for county funded Extension Assistants/Associates mileage and meals other than the conference meals.

Research & Extension Center-Based Extension Specialists, Educators, Assistants/Associates (Managerial-Professional Program Staff) and Unit Administrators mileage and meals other than the conference meals must be paid with Department or other operating funding utilizing normal UNL Employee Expense Voucher procedures.

Car pooling is strongly recommended! Multiple cars from the same county will be questioned unless they can be justified by the number of people attending or differences in travel plans.

State cars are allowed to park in any Area A or Area C lots.

Off-campus Employees with a UNL issued parking permit will be allowed to park in Dental Area C and Area A north of Hardin Hall only.

If you are bringing a County vehicle make sure it is registered with Jo Reining (jreining2@unl.edu or 402-472-2966), then you are required to use your UNL issued parking permit which will allow you to park in Dental Area C and Area A north of Hardin Hall only.

NOTE: If a county vehicle is used, mileage reimbursement requirement is done differently. A letter (using county letterhead) must be submitted to 211 Ag Hall, Lincoln, NE 68583-0703. Include the date(s) of vehicle use, driver(s) name, total miles traveled and destination. Reimbursement for county vehicle mileage will be made payable to the County in which the vehicle belongs.

NOTE: Sign in at the conference registration table will again be mandatory.
